POP mailboxes, explained.

A POP mailbox gives an email app a way to retrieve incoming messages from a server. What happens to those server copies depends on your app settings and provider. Start by deciding where your lasting archive should live.

What a POP mailbox actually does

POP3 retrieves messages from a server maildrop. Your mail application can store downloaded messages on your computer, where you can read and organize them. POP does not mirror an entire server folder tree or keep read status and local folders synchronized across your devices.

Downloading and deleting are separate operations. Some clients leave messages on the server; others remove them according to a configured rule. Check that rule before connecting an existing mailbox. A computer that quietly removes server copies can change what remains visible in webmail.

Choose a workflow, then choose the protocol

POP can suit a deliberately managed archive on one computer. It needs more care when you use a phone, a laptop, and a browser interchangeably. Each POP client can build its own partial collection, and a message sent from one device may never appear in another device’s local Sent folder.

Make the local archive recoverable

Locate the actual profile or mail-store directory used by your app. Confirm whether it contains full message bodies and attachments, and include it in a separate backup. A second folder on the same disk does not protect against losing that disk.

Test recovery with a small sample before you depend on the archive. Open an old message, inspect an attachment, and check a sent message. Record which accounts and devices still download through POP so a later migration does not leave a forgotten archive behind.

Questions about pop mailboxes

Does POP always delete messages from the server?

No. Retention depends on the client configuration and provider behavior. Read the settings instead of assuming that a download either keeps or removes the server copy.

Can POP receive mail while I am offline?

A client needs a connection to retrieve new messages. Previously downloaded complete messages can usually be read offline in the app that saved them.
